Zartech Electrical, 138 Constantia, Welkom, Free State, is responsible for the personal information captured in this portal. Questions and requests: Admin@zartechelectrical.com.

About clients, when staff complete a form with them:

• name, phone number, email address and the property or site address
• site, roof and electrical details, installation photos and equipment serial numbers
• signatures on job cards and rental applications
• for a rental application: company details, directors’ names and ID numbers, bank account details, trade references, turnover and the client’s consents

About staff: name, work email address, role, an optional profile photo, the devices signed in (device and browser type only, such as “iPhone · Safari”) and a record of who sent, opened or changed each form, and when.

• to quote for, plan and carry out electrical and solar work
• to keep a record of each installation, including equipment for warranty claims
• to assess rental applications, including credit checks the client consents to on the form
• to run staff accounts and keep these records secure

Some details are needed to do the work, such as the address of an installation. Without them, Zartech can’t quote, install or assess an application. Nothing is sold or used for marketing.

• Zartech’s management sees every record.
• Staff see only the forms they sent themselves, with ID and bank account numbers hidden.
• JVStudio Digital (Pty) Ltd builds and maintains the portal on Zartech’s behalf, as its operator under POPIA.
• Netlify hosts the portal and Resend sends its emails. Emails carry links only, never client details.

• Every form, photo and signature is encrypted before it is stored, and only reaches people signed in with the right access.
• The hosting servers are outside South Africa. Information is encrypted before it leaves the portal, and the providers handle it under their data-protection terms (POPIA section 72).
• Unsent forms saved on a phone are encrypted there, and deleted when sent, after 14 days, or when that person signs out.
• The portal sets one cookie, to keep staff signed in. There are no analytics or advertising cookies.

Forms, photos and signatures are kept for 5 years from the date they were sent, then deleted. A staff member’s details stay with the forms they sent for the same period. Sign-ins end after 60 days without use.

You may ask what information Zartech holds about you, and ask for it to be corrected or deleted, or object to how it is used. Email Admin@zartechelectrical.com.
